To provide accurate and compliant tax preparation and filing services, we collect only the information that is strictly necessary for that purpose. This may include:
Identity Information
- Full legal name, date of birth, Social Security Number (SSN), or Individual Taxpayer Identification Number (ITIN)
- Passport number, visa status, or foreign tax identification numbers, where required for international tax compliance
Contact Information
- Email address, phone number, and mailing or residential address
Financial Information
- Income documents (W-2s, 1099s, foreign income statements), deductions, credits, expenses, and other tax-relevant financial data
- Bank account or payment details solely as required to process payments for our services
Residency and Citizenship Information
- Residency status, citizenship, visa classification, and domicile information required to determine applicable tax obligations under US federal law and applicable tax treaties
Dependent and Minor Information

Technical and Device Information
- IP address, browser type, and operating system information collected automatically when you interact with our website, used solely for security and service improvement purposes
How We Use Your Information
CLAN Tax LLC collects personal and financial data exclusively for the purposes directly related to providing you with tax preparation, filing, and associated compliance services. We do not use your information for marketing research, cross-selling, up-selling, behavioral profiling, AI or machine learning training, or any purpose beyond the scope of the services you have specifically requested.
Specifically, we use your information to:
- Prepare and file your federal, state, and/or international tax returns as requested
- Communicate with you regarding the status of your return, outstanding documentation needs, or service-related matters
- Comply with applicable legal and regulatory obligations, including requirements under the Internal Revenue Code, IRS regulations, and applicable state tax laws
- Maintain records as required by law for the period stipulated by applicable tax and professional regulations
- Protect against fraud, unauthorized access, and misuse of our platforms
Where you have provided an email address, we may on rare occasions send informational notices about regulatory changes or service updates relevant to your tax situation. Any promotional communication, if and when sent, will include a clearly visible unsubscribe option in every message.
Sharing of Your Information
We do not sell, rent, or trade your personal or financial information. Information is shared only in the following limited circumstances:
Tax Professionals
Your information may be accessed by credentialed tax professionals within CLAN Tax LLC who are directly involved in preparing or reviewing your return. All tax professionals hold active Enrolled Agent (EA) credentials issued by the IRS and bring a minimum of fifteen years of professional experience. All access to your data is limited to what is necessary to complete your return.
Technology Service Providers
We use the following trusted third-party platforms to deliver our services securely:
- Intuit Inc.: Tax preparation software infrastructure. Intuit maintains SOC 2 Type II certification and employs industry-standard encryption and security protocols. See Intuit’s privacy practices at privacy.intuit.com.
- TaxDome: Our secure client portal and document management platform. TaxDome employs 256-bit AES encryption at rest and TLS 1.2/1.3 in transit, with SOC 2 compliance. See TaxDome’s security documentation at taxdome.com/security.
- Stripe: Payment processing. Stripe is a PCI DSS Level 1 certified payment processor. Payment card data is handled exclusively by Stripe and is never stored on our systems. See Stripe’s privacy policy at stripe.com/privacy.
All service providers are contractually bound to use your information solely for the purpose of providing services to CLAN Tax LLC and in compliance with applicable privacy laws.
Government and Regulatory Authorities
We may disclose information as required to comply with legal obligations, respond to lawful requests from government authorities, or fulfill our obligations under applicable tax law, including filing returns with the IRS and relevant state tax agencies on your behalf.
Business Transfers
In the event of a merger, acquisition, or transfer of all or a portion of our business, client information may be transferred as part of that transaction. In such an event, we will notify affected clients and ensure the receiving party is bound by terms no less protective than those in this Privacy Policy.
Data Handling and Platform Security
No client tax data is downloaded to local computers or devices at any time. All information remains within the secure server environments of Intuit and TaxDome, which maintain the security controls described above. This architecture significantly reduces the risk of data exposure from local device compromise.
Access to client data within our platforms is restricted to the tax professional assigned to your case and, for quality review purposes, to a second credentialed EA reviewer. No other personnel have access to your tax data.
All personnel handling client data are required to complete continuing education as mandated by the IRS for Enrolled Agents, including annual ethics training and updates on data security practices. These requirements are enforced through the EA credential renewal process overseen by the IRS Office of Enrollment.
International Data Transfers
CLAN Tax LLC serves clients with US tax obligations who may reside in or have tax nexus with multiple countries. Tax professionals engaged in your return may be physically located in the United States or abroad, whether permanently, temporarily, or while in transit, and your information may accordingly be processed in jurisdictions outside your country of residence. Regardless of the preparer’s physical location, all client data remains within the secure server environments of our authorized platforms and is never downloaded to local devices.
For clients subject to the European Union General Data Protection Regulation (GDPR) or similar data protection frameworks, international transfers of personal data are conducted under appropriate legal mechanisms, including Standard Contractual Clauses where applicable. By engaging our Services and agreeing to this Privacy Policy, you provide your explicit consent to such transfers to the extent required by applicable law.

Data Retention
We retain your tax records for the minimum period required by applicable law and professional standards. As a general guideline:
- Federal tax returns and supporting documentation are retained for a minimum of three (3) years from the date of filing, consistent with the standard IRS audit statute of limitations under IRC §6501.
- Returns involving substantial underreporting of income may be subject to a six (6) year retention period per IRC §6501(e).
- Returns in which fraud is at issue, or where no return was filed, have no statute of limitations, and records may be retained indefinitely in those circumstances.
- Returns involving foreign financial assets, foreign trusts, or certain international tax filings may be subject to extended retention requirements.
The applicable retention period for your specific situation will depend on the nature of your return. After the applicable retention period has elapsed and absent any pending inquiry, audit, or legal matter, your records will be securely deleted or anonymized.

Your Privacy Rights
Subject to applicable law, you have the following rights with respect to your personal information:
- Access and Correction: You may request access to the personal information we hold about you and ask us to correct any inaccuracies.
- Data Portability: You may request a copy of your information in a structured, machine-readable format.
- Deletion: You may request deletion of your personal information, subject to any legal retention obligations described above.
- Withdrawal of Consent: Where processing is based on consent, you may withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing carried out prior to withdrawal.
- Objection to Marketing: You may opt out of any promotional communications at any time by using the unsubscribe link in any such message or by contacting us directly.

Minors and Dependent Individuals
CLAN Tax LLC does not offer services directly to minors, and our website is not directed at individuals under the age of 18. However, we necessarily collect information about dependents (including individuals who may be considered minors under applicable federal, state, or foreign law) when such information is required by US tax law for the preparation of a tax return.
Examples include the name, date of birth, and SSN or ITIN of a dependent child claimed on a return, or a minor who is independently required to file a US tax return. In all such cases, information about minor dependents is collected solely to the extent required by law and is used exclusively for tax preparation and filing purposes.

Data Breach Notification
In the event of a security incident involving unauthorized access to, acquisition of, or disclosure of your personal or financial information, we will notify affected individuals in accordance with applicable federal and state breach notification laws.
Notification will be provided without unreasonable delay and, where required, within the timeframes established by applicable law. The IRS Data Theft information for tax professionals (IRS Publication 5293 and related guidance) informs our incident response procedures. Notice will be delivered via email to the address on file and will include a description of the incident, the categories of information affected, and the steps we are taking to address it.

Regulatory Compliance
As a provider of tax preparation services, CLAN Tax LLC is subject to the Gramm-Leach-Bliley Act (GLBA) and its implementing regulations, which govern the privacy and security of nonpublic personal financial information. We maintain a written information security program designed to protect client information consistent with GLBA requirements.
The use and disclosure of tax return information is additionally governed by IRC §7216 and the accompanying Treasury Regulations. We use and disclose tax return information only as permitted or required by law and only to the extent necessary to prepare and file your return or as otherwise authorized by you. We do not use tax return information for purposes beyond those permitted under IRC §7216 without your express prior written consent.

Governing Law and Jurisdiction
